2.6 Artificial Intelligence in Academic Contexts

Board of Regents Policy 6.28 requires all institutions within the University System of Georgia to develop and implement policies, procedures, or guidance around the ethical, responsible, and secure use of artificial intelligence (AI) in academic contexts. Guidance on the potential uses of AI can vary based on the sector and mission of the institution. Institutions should define what constitutes AI and its use across teaching, learning, research, and administrative functions.

Establishing clear ethical principles and guidelines is essential for fostering the responsible use and integration of Artificial Intelligence (AI) in institutions. Care should be taken to avoid unintended bias and discrimination when using AI. Systems or processes utilizing AI should be evaluated to ensure their use is ethical and appropriate. When conducting data analysis, it is essential that privacy and data protection regulations, such as FERPA and GDPR, are maintained. Institutions should also revise or develop academic integrity policies to explicitly address AI-generated content, clearly outlining permissible and impermissible use. To avoid confusion, define unauthorized use (e.g., submitting AI-generated work as one’s own without attribution), required levels of disclosure, and consequences for violations (included in the code of conduct). Policies should be widely disseminated through student handbooks, course syllabi, learning management systems, and workshops.

The use of Artificial Intelligence in producing scholarly communications, such as literature reviews, grant proposals, academic writing, and publishing, should include disclosures of use and a thorough review of the content generated by the AI tool to ensure accuracy and avoid including information that infringes on intellectual property or copyright. Authors should adhere to specific policies and guidance from funding agencies and publishers.

Suggestions for Development:

• Designate a point of contact for questions or concerns regarding the policies or procedures
• Set up a task force on campus consisting of staff, faculty, and students to review and develop policies, procedures, or guidance

• Review existing campus policies for areas intersecting the Board of Regents Policy
• Benchmark against policies that have been used at other institutions
• Create a review cycle to ensure policies align with current trends in AI
• Develop and maintain an inventory of systems or processes using AI

Institutional policies should be submitted to the Executive Vice Chancellor and Chief Academic Officer for evaluation and approval before implementation
