What is the Unified ERP Program?
The Unified ERP Program is a system‑wide initiative to modernize HR (human resources) and finance processes across the University System of Georgia using a single shared Workday platform.

What does ERP mean?
ERP stands for Enterprise Resource Planning. ERPs are systems that support administrative functions such as payroll, benefits, hiring, purchasing, and expense reporting.

Why was Workday selected?
Workday was chosen for its modern, cloud‑based design, strong security, real‑time reporting, and ability to support standardized processes, and continuous improvement.
Scope and Institutions

Which institutions are included in the Unified ERP Program?
All 25 USG institutions and the system office are participating.

Will all institutions use the same system?
Yes. All institutions will share the same Workday tenant while maintaining institution-specific data and access.

Does standardization mean institutions lose their individuality?
No. Standardization applies to administrative processes, not academic identity. Institutions retain their unique missions and programs.
Timeline and Go-Live

When will Workday go live?
All institutions will go live together in July 2028. See the Unified ERP Timeline.

Will institutions go live in phases or cohorts?
No. There are no cohorts. All institutions and the system office will go live at the same time.
Change Impact and Employee Support

How will this change affect my job?
Some processes may change, but the program includes early communication, training, and support to help employees prepare.

What training and support will be provided?
Role‑based training will be offered closer to go‑live, with live and self‑paced options, plus dedicated post‑go‑live support.

What if I'm not comfortable with new technology?
Workday is designed to be intuitive. The program is committed to providing training, job aids, and support resources that will help employees feel confident.
Security and Privacy

How is my information protected in a shared system?
Workday uses role‑based security, ensuring employees only see data needed for their role. Institutions cannot see each other’s data.

How is the program organized?
The program includes five business suites:
- HCM & Payroll
- Finance
- Technology
- Service Delivery & Operations
- Organizational Change Management

How is my institution represented?
Each institution has an IMPACT Team (Institutional Management of Program and Change Transformation) that acts as the local connection to the program. These IMPACT teams consist of an institutional sponsor, an institutional lead, and an institutional Organizational Change Management (OCM) lead.
Feedback and Engagement

Will there be opportunities to provide feedback?
Yes. Feedback is gathered throughout design, testing, and post-go-live through reviews, testing cycles, surveys, and IMPACT teams.

How will people stay informed?
Employees can attend town halls, receive quarterly updates, participate in demos and roadshows, and follow communications from their IMPACT teams.

Can I sign up for program updates?
Yes. The Unified ERP Program produces a quarterly newsletter that staff and faculty may sign up for. Individuals can opt in for this newsletter by completing this form.
Future Capabilities

Will USG implement Workday Student?
Student systems are being evaluated, but no decision has been made. The current focus is HR and finance.
