We invite you to attend the 15th annual GIL Users Group Meeting, on Thursday, May 14, 2015 at Middle Georgia State College, Macon Campus (100 University Parkway., Macon, GA 31206). The opening session and keynote address will be held in Room 211 (banquet hall) of the Professional Sciences Building.
GALILEO Interconnected Libraries, or GIL, is an extension of the GALILEO initiative funded by the Governor and the General Assembly of the state of Georgia to enhance and expand educational opportunities for the citizens of Georgia. The successes that GALILEO has had in leveling the information access opportunities for the citizens of Georgia are being extended to University System’s Libraries through GIL by providing students, faculty and staff expanded access to the information resources of the University System’s Libraries.
The GIL Users Group Meeting provides the opportunity for institutions using the Voyager ILS to gather and exchange information with their peers. GIL users are dedicated to excellence, using their creativity to solve problems and address user needs, and the GUGM 2015 theme, Collaboration and Convergence, recognizes this flexibility and resourcefulness, and encourages the USG community to come together to share unique approaches to working in a collaborative and continually changing environment.
GUGM’s agenda (which will be available before Registration opens) includes non-Voyager topics. You do not have to be a University System of Georgia (USG) library or a Voyager user to attend. Other libraries interested in attending are welcome.
Roy Tennant is a Senior Program Officer for OCLC Research, where he manages projects relating to technology, infrastructure, and standards. Previous employers include the California Digital Library and the University of California, Berkeley.
Roy is the creator and owner of the Web4Lib and XML4Lib electronic discussions, and the creator and editor of Current Cites, a current awareness newsletter published every month since 1990.
His books include “Technology in Libraries: Essays in Honor of Anne Grodzins Lipow” (2008), “Managing the Digital Library” (2004), “XML in Libraries” (2002), “Practical HTML: A Self-Paced Tutorial” (1996), and “Crossing the Internet Threshold: An Instructional Handbook” (1993). Roy wrote a monthly column on digital libraries for Library Journal for a decade, where he still blogs, and has written numerous articles in other professional journals. In 2003, he received the American Library Association’s LITA/Library Hi Tech Award for Excellence in Communication for Continuing Education.
Roy is also a commercial whitewater river guide, treehouse builder, (the fourth in his backyard in the Sonoma Valley), husband, and the father of grown twin daughters now in college.

Library assessment and library metrics are an increasingly complicated and labor-intensive process for libraries. Accreditation standards are continually changing, and it is more important than ever to show that decisions are being made based on evidence and assessment that aligns with an institution's strategic plan. The University of West Georgia Library's Technical Services department formed a statistics committee to streamline and organize the statistics gathering process to get consistent and reliable data. We've devised an algorithm that allows us to individually calculate a number of library metrics and customize them for multiple reporting agencies, such as ACRL, ARL, NCES, Common Data Set, and UWG's University Factbook. This session will inform attendees of our institution's current statistical processing methods and encourage dialogue about library statistical challenges.
The presentation will focus on the highlights of the latest release – Voyager 9.1. The product manager will describe the newest enhancements to Voyager, including new authority workflows, changes to patron notices, new features in bulk import, and enhancements requested by the Voyager community at large. Attend this session to learn more about the latest general release and what plans Ex Libris has in store for future Voyager versions.×
Many libraries add local notes in their library catalog that are specific to the resource in hand. Many of the local notes (e.g., those in the 500 and 590 fields) will disappear in the shared environment. Likewise, local access points (7XX fields) are additional fields that may not migrate. However, all is not lost! Many of the item specific notes can be placed in the holdings record. Additionally, access points can be coded for local retention and use. This session will cover recording local data in the bibliographic and holdings record based on FRBR and RDA recommendations.×

This presentation will demonstrate some of the practical tips and tricks we discovered during the migration process from the original LibGuides to the latest platform 2.0. Our strategy for migration was to use the process to update our guides and restructure the homepage to better serve our student population.We collaborated to add a variety of new facets to our guides using tools previously unavailable to us in the original LibGuides. In our presentation, we will briefly discuss the migration process then focus on two new aspects that were most helpful in restructuring our guides: creating widgets and personalizing the homepage. Utilizing tools available in the new LibGuides, we will demonstrate how to create a widget and apply these tricks to the customization of guides to create a user-focused access point for library resources. Easily adaptable to editors with a variety of skill sets, these strategies will empower library staff with the opportunity to develop robust and clean guides for their institutions.
Choosing an interlibrary loan platform that works best for your library can be a challenge, and there are many factors to consider, such as cost, functionalities, volume of requests, and more. This presentation will share the experiences of Asa H. Gordon Library in our transition from ILLiad to WorldShare. Our panel of presenters will discuss the challenges and rewards associated with implementing a new system as well as offer best practices for continuing to serve an academic community during a transition.
The University of Georgia has noticed a dip in Chat Reference statistics. It was hypothesized that users are not hitting less road blocks in their research, but instead are experiencing them at different points. To test this, the Chat Reference widget was placed in the GIL and GILFind catalog. This has resulted in a marked increase in questions from these points, at a higher rate than placing the widget in other parts of the Libraries' website. Session will discuss these results and explain the technical process of adding chat reference widget to GIL/GILFind.×
In the last several years there have been changes in the world of ILL. ARIEL has risen and fallen. Fax machines have largely fallen out of use. Scanners have become more common and articles are rarely mailed any more. Odyssey and Article Exchange now dominate the delivery of articles, along with email. Come talk with other ILL librarians to reminisce about times past, discuss new options and maybe pick up a tip or two to help your own workflow at your library.×
Does your data ever need a little love and attention before you can really analyze it? If so, OpenRefine is a user-friendly, open-source data manipulation application that can be a powerful addition to your toolbox. At Georgia State University Library we regularly use OpenRefine to assist with collection assessment, particularly to clean up and transform data extracted from Voyager, ILLiad, the ERMS, and other systems. This session will introduce OpenRefine and provide an overview of its major features, including faceting, clustering, splitting cells, and simple transformations. The presentation will include practical examples of how we have used OpenRefine to edit and manipulate our Voyager data.
In today's cash-strapped economic environment, libraries are under pressure to reduce costs, improve services, and remain relevant to their institutions and users. These combined pressures are encouraging libraries to increase collaboration and in more effective ways. The next-gen library service platforms (also known as unified resource management solutions) offer a wide variety of new types of collaborations for a formal consortia as well as to loosely connected institutions. Join Solutions Architect, Katy Aronoff, in this high level Alma overview focusing on how the University System of Georgia can work together in a next generation library services system. The session will contain a live demonstration of the Alma system, including customized cataloging and resource sharing workflows, analytics and reporting, and an update on the advanced collaborative features USG members can look forward to.×
Voyager's Global Data Change (GDC) module has automated several functions, from updating headings to replacing subfield content. However, what are your options for database maintenance if you don't have access to, or aren't able to use, GDC? This presentation will describe Strawn Voyager tools that allow you to quickly and easily delete bibs and items; change URLs; add, change and delete fields or subfields in bibs or MFHDs; and update location, item status, item type, and more. A brief overview of Strawn programs for other tasks, such as authority work, will be included. Note: this presentation assumes familiarity with Voyager Access Reports.×
Members of the Collaborative Technical Services (CTS) Team will discuss the recommendations that the CTS Team made to RACL for improved collaboration among USG libraries as well as issues associated with collaboration in general.
This session will include a brief overview of the various services GIL provides, with emphasis on the various ways you can get help from GIL regarding these services. This session is recommended for folks new to the University System or for folks who missed last year's similar session, "Life, the Universe, and Everything about GIL". A large portion of the session time will be set aside for Q&A.×
This session will describe how to create a Microsoft Access database to complement Voyager's serials/acquisitions functionality. A serials database eliminates the need to update records in multiple places and facilitates communication among serials staff. A serials database can drastically improve efficiency by showing all serials data on one screen, such as title history, holdings, usage, current order status, and archived notes relating to each title. This presentation will also briefly discuss how to create and run customized up-to-date reports for use in budget meetings, for accreditation purposes, and to support the work of subject liaison librarians.
GIL Express aka Universal Borrowing is a system-wide loan program among University System of Georgia libraries. Are you a new employee of the USG libraries working with GIL Express or have you recently started processing GIL Express requests? This presentation will start from the beginning and walk you through the back-office operations of the GIL Express program step-by-step. We will share basic training tips and best practices developed over the life of the program.×
As the primary method of querying a library's Voyager database, Voyager Access Reports is often used by systems librarians and IT staff--but how can catalogers make the best use of this resource? This session will introduce frequently used cataloging tables in Voyager Access Reports, along with the typical cataloging query backbone, frequently used SQL operators, join clauses, blob query structure and applications, and totals queries. Sample cataloging queries will be included. Although this session will focus on the major Cataloging tables, anyone wishing to learn more about Voyager Access Reports is encouraged to attend.×

ezPAARSE (http://analogist.couperin.org/start_en) is an open source software that analyzes EZProxy log files. Through an online form and a macro-enabled Excel workbook, ezPAARSE ingests your log files and creates visual charts representing the log data. The process requires some configuring, but the ezPAARSE team is very helpful and will aid you if issues arise. Overall, ezPAARSE has the potential to be an effective tool for electronic resource statistics gathering.
Georgia State University Library began an extensive inventory project in May of 2014 using the Shelf Lister program created by Michael Doran, which was intended to revolutionize the shelf inventory process by giving users a real-time display of what is supposed to be on the shelf, while simultaneously allowing the creation of an in-depth list of problems such as missing, damaged etc. For this presentation, I will be discussing how the program works both in theory and in practice, the hardware and software we utilized for the program, how the workflow has been adjusted through trial and error, and the most common errors in the software and for users working on the project. I will also discuss how we plan to continue through the general collection and future plans for the inventory project, and share some of the data we have gathered so far.×

The Interlibrary Loan world shares thousands of returnable items--books, film, fiche, maps--each year. Sharing can occur as near as in the same town--or halfway around the world! Come share best practices with your colleagues so that you can ensure that your items arrive safely at your borrowing partner's institution and come home safely. How should your requests be worded? What kind of packaging is suitable? In addition to already established routines, University System libraries are preparing to share a common courier with PINES and other public libraries in Georgia. Hear more about the pilot project which is currently underway and, more importantly, begin to prepare your ILL office for participation later this summer.×
