BCBS Interface, Audit Process and Incorrect SSNs
The BCBS Interface collects the majority of employees social security numbers (SSN) based on the entry in Administer Workforce > Personal Data > Eligibility/Identity. The SSN is used to match the employee and their dependents on the BCBS Interface file with their record in QCare. If there is no match between the SSN in the BCBS Interface file and the SSN in QCare, a brand new segment could be created for that person in QCare. It is very important that SSNs match between PeopleSoft and QCare.
Ideally, no person should be enrolled in health benefits until the institution has confirmed their correct SSN is in PeopleSoft. However, if an incorrect SSN is sent to QCare via the interface, the institution should immediately notify BCBSGA Customer Service about the situation. The user will then need to update PeopleSoft with the correct SSN, and a customer service representative at BCBSGA will need to update QCare manually with the correct SSN before another interface file is sent.
On the last calendar day of every month, BCBSGA will be producing an audit file for users to pick up and load for access by PeopleSoft. They will then be able to review the data from QCare in a table via Query, and run a public Query against this data and their current PeopleSoft data to look for discrepancies between QCare and PeopleSoft (see Business Process BEN150). This process will be available after the 2.14 release, scheduled for December 5, 2002.
If the SSN in the QCare audit file does not match the SSN associated with that employee in PeopleSoft, users will receive an SQR error when they run the BORI022 process (BCBS Audit File). The user will be unable to run the audit interface until they correct the SSN in PeopleSoft to match the SSN in QCare.
