Paycheck Distribution Issue (Reminder)
If an employee is paid from an inactive department the earnings associated with that department will not distribute. Paycheck Distribution will run to "Success" and no error messages will appear under Inquire>Payroll Error Messages. The problem will become apparent when the GL Interface is run and is out of balance. After Paycheck Distribution is processed there is no functional way to correct the Paycheck Distribution panels for earnings that did not distribute. Database intervention is required to update the PS_PAY_CHECK_EARNS table. Only after this table is updated through database intervention can the correct account number be entered on the Paycheck Distribution panel.
Two of the most common occurrences of earnings associated with an inactive department have been (1) a result of rehiring an employee into his previous position and letting the Department default from the prior job data row which may reflect an inactive department and (2) creating an on-demand check for a terminated employee in an inactive department.
The Pre-Distribution Audit report, BORR036, has been written to identify potential problems before Paycheck Distribution is run. It is very important to run this report and correct any errors prior to running the Paycheck Distribution process. If the department is an inactive department, go to Define Business Rules>Manage Human Resources (U.S.)>Setup>Department Table>Department Profile>Correction and set the status to "Active" until Paycheck Distribution is processed.
