Note: Audience for this announcement is Payroll users and employees responsible for maintaining and updating Department Budget Table information. FOLLOW-UP INFORMATION: Disregard this information if your institution opted to make manual adjustments via the Payroll Distribution page, completed the 1st Biweekly Payroll processing and the GL Interface to PS Financials. Analysis of the feasibility to create a DBI to populate all 06/02 fields with 07/01 values across all databases has been completed. It has been determined that this is not possible due to variations in the way each institution creates account codes. It is also uncertain at what stage each institution is within their budget process. The Georgia FIRST Financials group has identified a possible functional solution to correct the chart strings prior to posting the payroll journals in the General Ledger. Payroll users must adjust the GJPXXX file to contain the correct posting date for General Ledger. Refer to the Completing_First_Biweekly_Payroll_Processing_for_FY08.pdf instructions document attached. KI0078 - Problem identified effecting 1st Biweekly Payroll for FY08. SUBJECT: The 06/02/07 row inserted by Budget Prep on the Deparment Budget Table for FY08 may result in incorrect funding for the 1st Biweekly Payroll. PURPOSE: To notify employees responsible for maintaining and updating Department Budget Table information that the 06/02/07 rows present on the FY08 tables will cause the 1st Biweekly to be incorrectly funded with FY07 data. BACKGROUND: The Budget Prep Module inserts two FY08 rows into the Department Budget Table - 06/02/07 and 07/01/07. The 06/02 rows are hard coded in the Budget Prep module with data contained in the previous fiscal year to populate rows to accommodate the 1st Biweekly Payroll of the new Fiscal Year. The Paycheck Distribution Process PSPPFUND distributes the payroll based on the pay period end date. In the event of a change in funding as of 07/01, the 1st Biweekly Paryoll, which ends prior to 07/01/07,will distribute based on the 06/02 row which contains previous year data. FUNCTIONAL IMPACT: Payroll processing may be completed through Pay Confirm and printing of checks and advices. Users must NOT run the Paycheck Distribution Process PSPPFUND for the 1st Biweekly Payroll nor attempt to execute the General Ledger Interface (BORIF01) to PS Financials. The following options are available:

OIIT review of Department Budget Tables indicate that the following schools have NOT uploaded the FY08 budget as of this date. This process must be run prior to the application of the DBI.
