Follow up to KI0071 - Diskettes from institutions reporting 250 or more income statements will not be accepted by State of Georgia due to recent changes to State of Georgia Wage and Tax Reporting requirements.

FOLLOW-UP INFORMATION:
Modifications to the TAX960ST program was delivered via Release 3.24a on Thursday, March 8, 2007. Release 3.24a includes TAX960ST and changes to the Annual Continuous Audit file format.

After the completion of Release 3.24a (3/08/07), users will need to take the following steps listed in the Business Process PAY 530 - Calendar Year End Checklist with the modified date of 3/7/07.

1. Step 3. Employer ID: Verify this populated and the number is correct. This field must contain the 9-digit State Control Number, consisting of 7 numeric and 2 alpha characters without dashes.
2. Step 12. Load W-2 Records with TAX910LD.
3. Follow Step 19 instructions.
4. Step 21. Run the TAX962ST.SQR Process.
5. Verify wage and taxes with TAX960FD Trace File and reconcile with the Form G-7 Withholding Quarterly Return for the year. (This is for validation purposes only, formal reconcilement processes may have already been completed).

Once reconcilement is completed, submit the file via the Georgia e-File & e-Pay Systems at www.gaefile.dor.ga.gov listed in the business process as Step 19.

NOTE: Failure to enter the Employer ID correctly will result in invalid format or failed records.

The original Known Issue is shown below:

SUBJECT: 30-day extension for completion of income statement file submission is granted to GaFIRST institutions as a result of the recent changes to the State of Georgia Wage and Tax Reporting Requirements

PURPOSE: To alert users of an approved 30 day extension for completion of income statement file submission to the State of Georgia.

BACKGROUND: Per Georgia Department of Revenue Business e-File & e-Pay System Bulletin Two Online submission of the G-1003 (Income Statement Transmittal Form) made available February 1st, 2007, all companies reporting 250 or more income statements are required to submit the income statements along with the G-1003 online using the New Georgia e-File & e-Pay System (in lieu of mag-media), following the Federal MMREF-1 layout.

FUNCTIONAL IMPACT: When user submits the State File (MMREF) generated by the Create State File (MMREF) program (TAX960ST) to the State of Georgia for 2006 state wage and withholding information, an error of "invalid address" will be received. The error results from the recent changes to the State of Georgia Wage and Tax Reporting requirements announced in late January 2007. Consequently, State of Georgia has granted GaFIRST institutions an extension for the income statement submissions for 30 days. These files are due on or before March 31, 2007.

Modified TAX960ST will be made available for users via Interim Release 3.24a in mid-March. Business Process PAY530 will also be modified with new updated instructions. Until then, please do not attempt to upload files via the new Georgia e-File & e-Pay System.

A follow up to this Known Issue will be sent out as soon as the release date for Interim Release 3.24a has been scheduled.

Reminder: Diskettes must NOT be created as they will no longer be accepted by the State of Georgia. Visit https://www.gaefile.dor.ga.gov for additional information.

Note: A copy of the extension approval letter can be provided to GaFIRST institutions upon request. Requests including fax number and the name of the recipient should be sent via email to Debbie Farmer (debbie.farmer@usg.edu).
