KI0038 – Georgia Department of Labor Quarterly Report

Georgia Department of Labor released a memo dated July 1, 2005 announcing changes to the file submission process and to the electronic media format of the Employer’s Quarterly Tax and Wage Report. The changes to the file submission process are effective immediately (July 1, 2005). The file format changes are not effective until January 1, 2006.

It will be helpful in understanding the new submission procedures to read the document “Magnetic Media Specifications for Quarterly Unemployment Insurance Reporting”. This document is found under the Magnetic Media Specifications heading at the following URL:

The immediate changes for the institution and information on how to comply are detailed below.

  • All submissions must include a Transmittal Form. This form, “Magnetic Media Transmittal Form for Non-Payroll Services” can be found on page 6 of the document "Magnetic Media Specifications for Quarterly Unemployment Insurance Reporting".

  • All media must contain an external label. Please add "Media Count" (i.e. 1 of 'x' with 'x' being the maximum count) to the external label description found in RPT 320, Step 4. Unlabeled media will not be accepted.

  • Data on non-tape media must be compressed in either a WinZip or PKZip format. Please check with your local tech support to confirm that you have the ability to zip the file on your workstation in one of these two formats. Once the file is zipped, copy the file to diskettes (for DOL and for TALX) and mail. (Note: the city to which the TALX diskette should be mailed should be Columbus, OH instead of Cincinnati, OH. Business Process RPT 320 will be updated to reflect this change).

The format changes to the file (effective January 1, 2006) are tentatively scheduled for Release 3.13.
